Shortening Default Meeting Times in Outlook

🛠️ Instructions

🔹 Step 1: Open Outlook Settings
  • Windows or macOS App:
    1. Open Outlook.
    2. Select FileOptions.
    3. Choose Calendar from the left-hand menu.
  • Outlook on the Web:
    1. Go to outlook.office.com.
    2. Select the Settings ⚙️ icon in the upper right.
    3. Click View all Outlook settingsCalendarEvents and invitations.
🔹 Step 2: Turn On “End Meetings Early”
  • Windows/macOS:
    1. Under the section Calendar options, check the box labeled Shorten appointments and meetings.
    2. Choose either:
      • End early (recommended)
      • Start late
    3. Select how many minutes to shorten:
      • 5 minutes for meetings less than 1 hour
      • 10–15 minutes for meetings 1 hour or longer
    4. Click OK to save your changes.
  • Web Version:
    1. Under Shorten duration for all events, toggle the switch On.
    2. Choose to end early by 5, 10, or 15 minutes.
    3. Click Save.
🔹 Step 3: Verify the Change
  • Create a new meeting in Outlook and confirm that the default duration now ends a few minutes early.
  • Adjust again later if you prefer a different buffer time.

💡 Tips & Benefits

  • Shorter meetings create natural breaks and help prevent back-to-back scheduling fatigue.
  • This setting applies automatically to all new meetings you schedule.
  • You can still manually adjust the end time for individual meetings when needed.
